The Supply Chain & Planning Manager will support the Head of Operations in the service & delivery of maintenance & improvement contracts for the relevant area. They will have oversight of the planning function and the management of Sub-Contractors and Supply Chain Partners in the area.
Success in the role is to deliver all contract works in line with client KPI requirements and internal targets while ensuring sub-contractors understand their roles. Also ensuring adequate resources, organising the work & closely monitoring to ensure works are being completed safely, on time, to specification, and within cost. Supporting the Head of Operations in the management of all external resources relating to the Depot is integral to the role also.
Managing the CFM and client relationship is very important to the role, ensuring transparency and good channels of communication exist and are maintained.
Responsibilities
- To manage the KPIs in place with our clients daily using Daily Huddles/dashboards with the depot’s Supervisors, Planners, and administration team monitoring & communication driver for achieving success and ultimately achieving month end targets. They will be required to chair these meetings as and when required.
- Driving H&S Compliance in all work practices & monitoring through H&S Inspections carried out by sub-contractors.
- To set up, update and manage a sub-contractor KPI system which follows the same key deliverables in place with our clients. Reporting on these KPI's at internal meetings and then chairing meetings to assist in arresting any poor performances/slippages in performance as and when required
- Ensure sub-contractors fully comply with all work processes using the IT systems and PDAs in place to manage the high volumes of work & ensure strong compliance across all workstreams.
- Applications management including Accuserv, C-View for contract and sub-contractor management, Accumobile for managing jobs, SharePoint, IMS and any other software or system.
- Ownership of Planning the work with the Depot Planning Team, advising and coaching staff to ensure CFM operate as efficiently as possible with each Trade maximising productivity
- Set and drive the Planning standards across the area, working closely with the Lead Planner, ensuring all Planners are working to the desired requirements
- Monitoring Job Numbers & Workflows ensuring adequate resource is in place to meet the Key Performance Indicators set by our clients – again this is reviewed daily with the team at the Daily Huddle and actions are fast paced.
- Support Head of Operations on contract matters, responding to queries, complaints and preparation of KPI challenges, contractor reports, improvement plans and PLIC claims
- Liaise with QS department on QS matters relevant to sub-contractors, support resolving queries and challenges
- Management of all relevant KPI’s with prompt daily Corrective Actions in place where necessary, using a flexible approach to problem solving to meet targets
- Support the management of the CFM Team and any People Management activities such as annual leave, recruitment, disciplinaries, time attendance queries, and overall Performance Management
- Responsible for recruitment requirements, including successful and professional onboarding, delivery of training plans, compliance to probation period and ongoing training & development requirements
- Assist with and champion Continuous Improvement and LEAN initiatives within the business.

The ideal candidate will have the following:
- Some prior knowledge of basic property maintenance
- IT Skills & knowledge of Microsoft applications (Outlook, Word, Excel,)
- Good written & verbal communication skills
- A valid UK Driver’s Licence
- IT Skills & knowledge of Microsoft and other SW applications
